In May 2023, JICA provided recommendations to enhance project efficiency and effectiveness, leading to further support for EDMS development.

National Water Supply and Drainage Board (NWS&DB) is set to digitalise its operations, with the introduction of a ‘cutting-edge’ Electronic Document Management System (EDMS), with support extended by the Japan International Cooperation Agency (JICA). This was revealed in a statement posted by JICA on its website on Tuesday (17), but dated 16 (Monday).
In connection with this programme, last Friday (13), a Memorandum of Understanding (MoU) was entered into between NWS&DB Chairman Nishantha Ranatunga, JICA’s Chief Representative Tetsuya Yamada and Cyclomax International (Pt.) Ltd. Managing Director K.P.N.I. Wickremasinghe, it said. Cyclomax is an IT solution provider in Sri Lanka which will support NWS&DB to develop the EDMS to digitalise NWS&DB operations, JICA said.
With JICA’s support, NWS&DB is alianing itself with guidance of the Water Supply and Estate Infrastructure Development Ministry, aimed at optimising resource usage, promoting business efficiency and ensuring financial sustainability. This transformation underlines NWS&DB’s commitment to modernisation, operational efficiency and sustainability to improve services to its [12:56 pm, 14/06/2024] Yoga Akki: customers, the JICA statement further said.
Key Highlights of the EDMS Initiative are geographical efficiency, resource optimisation and ‘project acceleration,’ JICA said.
Geographical Efficiency: With operations spanning across Sri Lanka, NWS&DB generates a substantial volume of documents currently processed manually. EDMS will digitise these documents and digitalise its workflows, ‘ensuring administrative efficiency and productivity,’ it added.
Resource Optimization: In response to the prevailing economic crisis, NWS&DB is shifting towards a more skilled and greener organisation. This transition is coupled with the introduction of the EDMS for transforming its entire operations, ensuring an efficient, effective, transparent and eco-friendly approach to its resource management, JICA further said.
Project Acceleration: NWS&DB is actively expanding piped water coverage nationwide, the JICA statement said. “The EDMS will expedite project implementation through digitalising documents exchange and approval procedures, eliminating unnecessary delays,” it further said.
