Cyclomax recently implemented an EDMS for the National Water Supply & Drainage Board (NWSDB) in partnership with the Japan International Cooperation Agency (JICA). This collaboration significantly improved their document handling processes. By digitizing a substantial volume of manually processed documents, we enhanced their workflows, making document retrieval and management more efficient and productive. This case study highlights the transformative impact of our EDMS solutions and our successful collaboration with JICA.

In today’s fast-paced digital world, efficient document handling is crucial for any organization’s success. An Electronic Document Management System (EDMS) offers a comprehensive solution for storing, managing, and accessing documents. At Cyclomax, we are at the forefront of this innovation, providing digital transformation solutions that transform the way businesses handle their documents.

JICA Supports NWSDM to Transform Operations with Digital Solution

The National Water Supply and Drainage Board (NWSDB) is set to digitalize its operations with an Electronic Document Management System (EDMS), supported by the Japan International Cooperation Agency (JICA). In May 2023, JICA provided recommendations to enhance project efficiency and effectiveness, leading to further support for EDMS development.

Our investment in state-of-the-art EDMS technology is designed to drive a new era of efficiency and productivity. By leveraging the latest innovations, we provide robust solutions that streamline workflows, enhance collaboration, and ensure security, empowering organizations to achieve their goals more effectively.

Integration and Customization

EDMS integrates seamlessly with HRM systems, leveraging APIs to validate user credentials and retrieve essential employee data such as locations, designations, and cost centers. This robust connection ensures accurate user information and streamlines the user management process, enhancing operational efficiency.

API Integration

With a robust API layer, our EDMS facilitates seamless integration with a wide range of external software applications. This versatility ensures effortless communication and data exchange between systems, making the EDMS a flexible and adaptable solution for diverse organizational needs.

Document Categorization and Registry

EDMS offers a comprehensive Document Categorization and Registry system, allowing users to create, edit, and delete document categories and registries. This intuitive design, enhanced by API facilities, ensures a dynamic and responsive document management environment, simplifying administrative tasks and supporting scalability.

The transformative impact of our EDMS solutions was highlighted in a recent article by “Finance Today” under the topic “WATERBOARD OPS TO BE DIGITISED,” showcasing how the NWSDB is leading the way in digital transformation.

National Water Supply and Drainage Board (NWS&DB) is set to digitalise its operations, with the introduction of a ‘cutting-edge’ Electronic Document Management System (EDMS), with support extended by the Japan International Cooperation Agency (JICA). This was revealed in a statement posted by JICA on its website on Tuesday (17), but dated 16 (Monday).

In connection with this programme, last Friday (13), a Memorandum of Understanding (MoU) was entered into between NWS&DB Chairman Nishantha Ranatunga, JICA’s Chief Representative Tetsuya Yamada and Cyclomax International (Pt.) Ltd. Managing Director K.P.N.I. Wickremasinghe, it said. Cyclomax is an IT solution provider in Sri Lanka which will support NWS&DB to develop the EDMS to digitalise NWS&DB operations, JICA said.

With JICA’s support, NWS&DB is alianing itself with guidance of the Water Supply and Estate Infrastructure Development Ministry, aimed at optimising resource usage, promoting business efficiency and ensuring financial sustainability. This transformation underlines NWS&DB’s commitment to modernisation, operational efficiency and sustainability to improve services to its [12:56 pm, 14/06/2024] Yoga Akki: customers, the JICA statement further said.

Key Highlights of the EDMS Initiative are geographical efficiency, resource optimisation and ‘project acceleration,’ JICA said.

Geographical Efficiency: With operations spanning across Sri Lanka, NWS&DB generates a substantial volume of documents currently processed manually. EDMS will digitise these documents and digitalise its workflows, ‘ensuring administrative efficiency and productivity,’ it added.

Resource Optimization: In response to the prevailing economic crisis, NWS&DB is shifting towards a more skilled and greener organisation. This transition is coupled with the introduction of the EDMS for transforming its entire operations, ensuring an efficient, effective, transparent and eco-friendly approach to its resource management, JICA further said.

Project Acceleration: NWS&DB is actively expanding piped water coverage nationwide, the JICA statement said. “The EDMS will expedite project implementation through digitalising documents exchange and approval procedures, eliminating unnecessary delays,” it further said.
